How we handle your data.

• Registration data (via KonfHub): name, email address, phone number, company name, designation, GSTIN (if an invoice is requested), meal preference, and allergy or dietary information
• Speakers: the above, plus bio, photograph, travel details (flight and passport information where needed for bookings), and bank details for reimbursements
• International attendees: passport details where required for visa invitation letters or hotel bookings
• Community data: your phone number and profile name when you join our WhatsApp groups
• Website data: basic analytics such as pages visited and device type, via cookies
• Event media: photographs and video recordings taken during the event

We process your personal data to:

• Register you for and manage your attendance at our events
• Issue tickets and tax invoices, and process payments and refund transfers
• Communicate event updates, schedules, and logistics
• Arrange speaker travel, accommodation, and reimbursements
• Issue visa invitation letters for international attendees on request
• Provide catering that respects your dietary needs and allergies
• Operate our WhatsApp community
• Publish event photographs and videos on our website and social media for community promotion
• Share the attendee list with event sponsors after the event
• Comply with legal obligations covering tax, accounting, and regulatory requirements

We process your personal data on the basis of consent given at registration, which is free, specific, informed, unconditional, and unambiguous, as required under the DPDP Act.

• Withdrawing consent: you may withdraw consent at any time by emailing hello@wpninjas-india.com. Withdrawal does not affect processing already done, and may mean we cannot provide certain services, since event entry requires registration data.
• Sponsor sharing: your details are shared with sponsors only after the event. You may opt out at any time before the event concludes by emailing us with the subject "Sponsor Opt-Out". Opting out does not affect your ticket in any way.
• Photography: by attending, you consent to being photographed or filmed in general event coverage. If you prefer not to appear in close-up shots, tell us at the registration desk and we will make reasonable efforts to accommodate this.

We share personal data only as needed, with:

• KonfHub, our ticketing platform, which processes registration data on our behalf
• Radisson Blu Plaza Delhi Airport, for room bookings of speakers and attendees who book through our room block
• Event sponsors, who receive attendee name, company, designation, and email after the event, unless you have opted out before the event concludes
• Service providers such as transport providers for airport pickups and AV or production vendors, strictly for event operations
• Authorities, where required by law

We do not sell your personal data. We require our processors to protect your data and use it only for the stated purpose.

Some of our service providers, such as ticketing, email, and cloud tools, may store data outside India. We transfer data only to countries not restricted by the Central Government under the DPDP Act, with appropriate safeguards.

We retain personal data only as long as needed for the purposes above or as required by law, for example tax records for eight years. WhatsApp community data remains until you exit the group or request removal.

Under the DPDP Act, you have the right to:

• Access: obtain a summary of your personal data we process and the processing activities.
• Correction and erasure: have inaccurate data corrected, incomplete data completed, and data erased when no longer necessary.
• Grievance redressal: a readily available means to raise complaints with us.
• Nominate: designate another individual to exercise your rights in the event of death or incapacity.

To exercise any right, email hello@wpninjas-india.com with the subject "DPDP Request". We will respond within a reasonable time. If you are unsatisfied with our response, you may complain to the Data Protection Board of India.

The DPDP Act also requires Data Principals not to impersonate others, suppress material information, or file false complaints, and to provide only authentic information when exercising rights.

Our events and community are intended for working IT professionals and students aged 18 and over. We do not knowingly process data of individuals under 18.

We use reasonable security safeguards, including access controls, limited team access, and reputable platforms, to protect your data and prevent breaches. In the event of a personal data breach, we will notify the Data Protection Board and affected Data Principals as required by the DPDP Act.
